We are currently looking for an Executive Assistant to the Vice-President, Global Business Development to be the supportive force that empowers our VP, Global Business Development. The ideal person for the job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. 

The incumbent assists in the management of information within the Sales team and between the Sales team and other R8G's divisions/departments.  This includes keeping up to date on the Team’s current activities; responding to general external and internal requests for information; liaising with staff from the Divisions/Departments, Regional Offices,  and representatives of other institutions.

Superpowers you have are:

  • At least 5 years experience in an administrative role reporting directly to upper management;
  • Superb written and verbal communication skills;
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once;
  • Proficiency in Microsoft Office and other office productivity tools, with attitude to learn new software and systems;
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge;
  • Experience developing internal processes and filing systems;
  • Ability to keep company confidence.


Becoming a part of Room 8 Studio team you will:

  • Establish and operate an efficient office by providing secretarial and administrative support to the VP, Global Business Development;
  • Manage the day-to-day operational and administrative activities of the Vice-President by setting and monitoring his schedule, organizing the incoming flow of work, prioritizing requests, receiving and prioritizing VP’s correspondence;
  • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives; 
  • Work along with the Travel Manager to make sure all aspects of VP’s travel are provided;
  • Serve as the low-value purchase coordinator for the Office of the VP and prepares the monthly expense report;
  • Keep and maintain the Activity Reports of the Office’s staff by collecting the completed forms, auditing and entering the data in the spreadsheet, sending a weekly/monthly report to VP and keeping the staff informed of their org tasks;
  • Participate in regular Sales meetings, making arrangements for meetings, drafting agenda, compiling and distributing background documentation, and acting as recording secretary;
  • Organize Sales team communications and plan events, both internally and offsite;
  • Bring to the attention of the Vice-President documents that require her approval or the President’s approval.
