Preply is looking for an Office Manager.
Your objective will be to ensure a smooth running of the office duties, Preply’s team day-to-day operation and Create and maintain a pleasant work environment, ensuring high levels of organisational effectiveness, events, communication, and safety.
As a Office Manager, you will:
1. Office duties
- Ensure timely and accurate customer service
- Handle complaints and specific customers requests
- Maintain the office condition and arrange necessary repairs
- Organize the office layout
- Ensure regular seating plan monitoring in order to effective team placement
- Address employees queries regarding office management issues
- Provide general support to visitors
- Liaise with facility management vendors, including cleaning, catering and security services
- Coordinate office activities and operations to secure efficiency and compliance to company policies
- Organize office operations and procedures
- Onboarding newcomers in the office and support with office related questions
- Cooperate with courier services suppliers to provide in time parcels sending and delivery
- Provide daily office audit in order to ensure in time damages to be found and fixed, and improvements settled
- Ensure proper office greenery and decoration in order to company’s office standards
- Ensure regular and quality internal communication with office residents to create a pleasant work environment and useful information space
- Organize relaxing areas in the office (Kitchen, Bar, etc.): improvements, purchasing of necessary products (snacks, drinks, fruits), decore, etc. in order to create good space not just for hard work but to relax
- Ensure office safety & security control in order to company’s policy. Provide staff cards for newcomers, card losts control, cooperation with business center (and other authorities) in case of security issues
- Provide support with office assets inventory process in cooperation with Finance Chapter
2. Logistics
- Provide full cycle support in Business travels organization (visas, hotels and tickets booking, other logistics organisation)
- Coordination of the process with custom services, airway companies, border control services
- Provide first class support to employees during organisation of business trips
3. Purchasing
- Ensure necessary market research and purchasing process in order to office/events needs or by request from Administrative Manager and in line with submitted budget
- Keep updated records of the office expenses and costs
- Ensure that all items are invoiced and paid on time
- Manage office budget, ensure accurate and timely reporting
- Manage contract and price negotiations with office vendors, service providers and office lease
- Keep stock of office supplies and place orders when necessary
4. Events management
- Provide presents distribution for team members in order to special occasions (newcomers, probation, B-days, Anniversaries)
- Provide purchasing of the presents for Preplers for company holidays
- Support in organising different Preply events (online and offline, work in a team on preparing concepts and proposals, event budget control, coordination of suppliers, responsibility for purchasing, paperwork, communication with a Preply team, etc.)
What we are looking for:
- High school diploma
- Proven experience as an Office Manager, Office Administrator or Administrative Assistant for at least 1 year is preferred
- Experience with office services (G-Suite, Jira, Confluence, etc.) is preferred
- Strong communication skills in English (our company is multinational)
- Excellent written and verbal communication skills
- Excellent time management skills and ability to multitask and prioritize work
- Ability to define problems, collect data, establish facts and draw valid conclusions
- Ability to establish a solid working relationship with end-users and peers
- Problem-solving skills and a keen eye for detail
- A creative mind with an ability to suggest improvements
- A team player
